Case study
Fewer questions. Fewer forgotten tasks. More confidence in daily operations.
How Actionpark Hirschhagen organises daily operations for 15 employees with Team-Tasks
At Actionpark Hirschhagen, laser tag, paintball, a high ropes course and other leisure activities are part of daily operations. For everything to run smoothly, many small and large tasks must be completed reliably.
A particular challenge: many employees are temps and are not on site every day. Routines are forgotten, individual steps are overlooked and important preparations are sometimes left undone.
That is why the park has been using Team-Tasks for around four months. What began with two simple checklists has become a central tool for organising operations.
Transparency note: Actionpark Hirschhagen is economically affiliated with the provider of Team-Tasks. The experiences and evaluations described come from the park's actual operations.

It all started with opening and closing
Before Team-Tasks was introduced, according to park management something was forgotten practically every day.
Sometimes the lights in a hall stayed on, sometimes the wrong switches were used or preparations were not done in time. The result was extra questions, unnecessary stress and avoidable mistakes during operation.
The solution was surprisingly simple: separate projects were created for opening and closing the park. Each area got a task, each individual action a step with a short description and a photo. The result: two projects with 14 tasks each and a total of 204 individual work steps.
For example, one task guides staff through starting up the laser tag system. The steps explain how amplifiers are switched on, fog machines are checked and other preparations are carried out. At the high ropes course, safety-related checks, including the climbing area and the base jump, are documented in the same way.
A routine everyone can rely on
Every employee can see at any time which tasks are done and which are still open.
Experienced colleagues use Team-Tasks as a reminder. New employees can learn many routines much faster using the stored instructions and, after the appropriate briefing, carry them out independently.
Recurring tasks are created again automatically. If an area is not needed on a given day, the task can be closed with the custom status “not applicable”. For particularly important checks, such as on the compressed air system, photo evidence is mandatory.
Completed tasks are archived. The system records who documented which activity and when. The records can be searched and printed as a report. This is especially valuable for the high ropes course: the daily checks can be documented traceably for inspectors.
Relief for park management
Manu, operations manager of the park, started out as a temp himself and has been shaping operations for many years.
„For the first time, when I leave the park I am sure that absolutely everything is done and I haven't overlooked anything.“
For him, the biggest benefit is the relief: instead of constantly checking, reminding and asking, he can view the documented status of work at any time.
Measurably less communication
The park compared the number of WhatsApp messages from June to October 2026 with the same period of the previous year without Team-Tasks.
fewer messages between managing director and operations manager
fewer messages between operations manager and employees
The figures are based on the park's internal evaluation of its WhatsApp communication. Other influencing factors cannot be fully ruled out. The park is economically affiliated with the provider of Team-Tasks.
Many questions that used to be necessary no longer arise, because tasks, responsibilities, work instructions and progress are available directly in Team-Tasks.
From the opening routine to the whole operation
After the first positive experiences, further areas were added to Team-Tasks.
- Problems and repairs
- Defects are recorded with a photo and passed on to the people responsible. The caretaker sees his tasks in his own project, without information getting lost in chats. Management sees when they are done without having to ask.
- Daily routines
- Cleaning, toilet checks, coffee machines, stock levels and many other activities are organised as recurring tasks.
- Maintenance
- Maintenance dates and inspection intervals stay visible. Responsible employees receive their tasks in good time.
- Employee onboarding
- Employment contracts, briefings, trainings, access rights and individual skills are documented in a structured way. Permissions ensure everyone only sees the information intended for them.
- Orders
- Employees record drink stocks and consumables by photo. Management can often judge reorder needs without an extra walk-round.
- Idea management
- Suggestions for improvement are collected, assigned and implemented where needed.
Training new employees faster
According to the park's experience, the benefit is most evident with new employees. Previously, it took several months until many routines could be carried out largely independently. Today, according to the park's experience, this is often possible within a few weeks.
The reason: new employees can read work instructions directly while carrying out the task. This means fewer supervised repetitions are needed.
One example is cleaning and refilling the fresh-brew coffee machine. A new employee was able to carry out and document the complete routine correctly using only the stored steps and photos, without a prior briefing.
For safety-related activities, mandatory briefings, qualifications and checks of course remain necessary.
Conclusion: more than a digital task list
For Actionpark Hirschhagen, Team-Tasks is now an important part of daily operations. It helps avoid mistakes, train new employees faster, reduce communication effort and document important work traceably.
15 employees, many recurring tasks and a shared overview of what needs to be done and what has been done. The decisive benefit is not digitalisation alone, but the confidence that important routines are carried out in a structured and traceable way.
