On-the-job training – teaching new employees tasks step by step

The new temp is supposed to close the late shift alone tomorrow, but was only shown the routine once in passing. On-the-job training is not about contracts and access, but about the actual tasks at the workplace. With Team-Tasks, you map all processes that concern a person in detail in the app: with steps, photos and videos. The first runs are carried out together with a supervisor. Afterwards, Team-Tasks remains a support in daily work: even after a longer break, the person can carry out the routine independently using the task.

Why on-the-job training often stays patchy

  • Every colleague explains the task slightly differently – there is no common standard.
  • Things are shown in passing under time pressure; details are forgotten the next day.
  • New employees are reluctant to ask repeatedly and prefer to work by feel.
  • Rarely performed tasks are no longer remembered after holidays or a longer break.

How it works in Team-Tasks

  1. 1

Capture all of the person's processes

Decide which activities belong to the role – such as opening, receiving goods, cleaning a machine or cashing up.

  2. 2

    Map the processes in detail

Each activity becomes a task with clear steps. Photos, short videos or PDFs show what matters.

  3. 3

    Carry out with the supervisor

The new person works through the first runs together with a supervisor. Questions and hints are recorded as comments on the task.

  4. 4

    Improve the instructions

Whatever was unclear during training is added directly to steps, photos or videos. The instructions get better with every run.

  5. 5

    Carry out independently

Afterwards, the person carries out the activity alone, following the steps in the app. Mandatory photos at key steps make the result traceable.

  6. 6

    Support after a longer break

Weeks or months later, the routine is still at hand in the app. The person can look it up and carry it out independently without having to ask again.

  7. 7

    Reuse the template

The tasks are saved as a template. Every new person learns to the same standard.

Practical example

An example bakery with three branches maps all activities of a sales assistant in eight tasks, from loading the oven to cashing up. Each task contains photos and a short video. In the first week, the new assistant carries out the routines together with the branch manager. Later, she handles the half-yearly stocktake independently using the steps in the app, even though she has not done it for a long time.

From practice

At Actionpark Hirschhagen, a new employee cleaned the coffee machine correctly using only the stored steps and photos.
